Goal
Get Blue needed a complete customer operations infrastructure built from the ground up. They had no unified support system, no visibility into customer health, and no automated way to route, track, or respond to support requests. The goal was to build a scalable, connected service layer — one that could handle support intake from both their Webflow marketing site and their embedded mobile app, while pulling in real-time subscription and payment data from Stripe to give the team full context on every customer interaction.



Strategy
Rather than treating the chatbot, support forms, and CRM as separate tools, we designed a single unified data model that all three channels feed into. Every support interaction (regardless of how it started) writes to the same set of custom ticket properties, enabling clean reporting and consistent ticket views without redundancy. Stripe data was piped into HubSpot via Zapier to populate a custom contact property sidebar, giving the support team immediate visibility into subscription status, payment history, and churn signals directly on the contact record, no tab-switching required.
Execution
> Built conditional support intake forms in HubSpot with branching logic ; surfacing issue-specific fields based on request type and writing to a shared set of custom ticket properties
> Deployed a HubSpot chatbot inside the Get Blue mobile app and Webflow site, using conversation flows to triage request category and wearable platform, saving all responses to the same ticket schema as the form
> Designed a unified custom ticket property schema used across both the form and chatbot ; eliminating duplicate properties and enabling clean reporting from a single data source
> Built ticket pipeline with custom stages and workflow-driven ownership routing ; automatically assigning tickets to the correct team member based on request category, no manual sorting required
> Connected Stripe to HubSpot via Zapier to sync subscription data in real time ; plan type, MRR, payment status, renewal date, failed payment count, and dunning stage surfaced directly on the contact record
> Built internal lifecycle stage automation driven by Stripe signals ; active subscriptions, failed payments, refunds, and cancellations all trigger contact stage updates automatically
> Developed 8+ dynamic transactional ticket emails, each tailored to the specific issue type submitted and populated with live ticket data via HubSpot tokens

Impact
Get Blue went from zero support infrastructure to a fully automated, multi-channel customer operations system; in a single engagement. Support requests from the app and website now land in a clean, categorized pipeline with the right owner assigned automatically. The team has real-time Stripe data on every contact record, lifecycle stages that stay current without manual updates, and a transactional email experience that reflects the professionalism of the product. Reporting is clean because the data model was built right the first time — one set of properties, two channels, zero duplication.
